Communications Manager

Position Description/Duty Statement

Purpose and context:

2RPH is a volunteer run community radio station committed to providing a radio reading service to people who are unable to read independently, or access published material. Some of our listeners do so while they are driving or working, and others enjoy the diverse programs and style of 2RPH.

Based in Glebe we read newspapers, magazines and books to over 106,000 weekly listeners in Sydney, Newcastle and the lower Hunter region to over. We broadcast 24 hours a day and have over 200 volunteers who prepare, produce and present the majority of our programs.

The role:

The overall purpose of the Communications Manager role is to raise the profile and reputation of the station. It requires extremely effective and skilled communication to listeners, government, volunteers and relevant community sectors by using a variety of media.

Primary Responsibilities

Strategic communication:

  • Implement the overarching communication strategy
  • Deliver communications and promotional material in line with the 2RPH Communication strategy
  • Plan and implement communications to launch key initiatives and broadcast and podcast programs to ensure they are promoted to relevant interest groups and sectors
  • Advise the organisation on communications appropriate to digital media convergence and the resources required to remain competitive.

Communications:

  • Create regular communications for internal and external stakeholders and distribute across various platforms
  • Be responsible for the enhancement of the website and manage associated issues liaising with a variety of internet related suppliers regarding upgrades, and licences
  • Source and generate images for promotional purposes and be responsible for all procedures relating to acknowledgements, storage, captioning and permission to publish
  • Produce all communications in line with accessibility standards
  • Report website metrics and social media interaction on a regular basis
  • Develop media releases, generate stories for external interest
  • Maintain supply and good order of the digital assets and other promotional tools e.g. brochures, banner, flag etc
  • Maintain and develop a media contacts database
  • Attend to all administrative matters associated with the position.

General

  • Maintain high quality, accurate and clear work files and fulfil the administrative requirements of the position
  • Participate in and contribute to organisational evaluation and planning sessions, including:
    • o Staff meetings
    • o Annual planning meetings
    • o Ad hoc meetings with staff, Board of Directors and/or stakeholders
    • o Endorse the vision, mission, strategic direction, overall structure and services to speak knowledgeably about 2RPH
    • o Contribute to whole of organisation celebrations and 2RPH events.

    Qualifications and experience required

    • Bachelor degree in a relevant discipline
    • 5 years + mainstream media management and liaison experience

    Office Manager

    Purpose and context:

    The overall purpose of the Office Administrator is to provide high-level administrative assistance to ensure the management of the day-to-day operations of 2RPH. The position involves the effective co-ordination of office procedures, membership, internal events, and the administrative needs of the Board.

    Reporting to the General Manager you will be responsible for providing confidential support and coordinating a wide range of administrative functions to facilitate the smooth running of the organisation.

    Primary Responsibilities

    Board support:

    · Coordinate and upload Board Meeting Papers to appropriate systems.

    · Take minutes of board, and subcommittee meetings.

    Membership and Volunteers

    • Responsible for membership renewals and all procedures and benefits relating to them.

    Administration:

    • Oversee the effective handling of telephone calls including managing the night switch effectively; receiving and directing visitors; correspondence (e-mail, letters, packages etc.) and the collection of all mail.
    • Provide hands-on administrative support including, creating, updating, and formatting documents.
    • Manage and improve existing spreadsheets in order to provide prompt and accurate data reports.
    • Create and update records and databases to support the activities of the station.
    • Maintain the 2RPH electronic filing systems.
    • Support all personnel by resolving software updates, minor computer errors, and liaising with IT supplies, as required.
    • Maintain station supplies by administering stock control to ensure appropriate inventory levels are maintained.
    • Manage and maintain equipment, furniture, and office machinery and ancillary areas.
    • Maintain the established security system to ensure seamless access to the premises, by all personal.
    • Update program information on the hard copy guide in line with the launch of new programs and maintain supply of brochures and programs at the station.
    • Liaise with suppliers to renew subscriptions to publications used by 2RPH producers
    • Support the administrative needs of the Rostering Team with a view to continuous improvement processes.
    • Regularly check the Info@ responses, respond and or distribute as appropriate.
    • Update the manuals/instructions/signage in the studios, cutting area, reception and ensure information in these areas is current.
    • Assist with recruitment supervision, induction and training of new employees, volunteers.
    • In collaboration with relevant committee members arrange the mid-year and Christmas functions, and other small events, as required.
    • Book meeting rooms, taxis, couriers, as required.

    General

    • Establish and maintain good relationships with a diverse range of stakeholders
    • Attend meetings as required.
    • Participate in and contribute to organisational evaluation and planning sessions, including:
      o Staff meetings
      o Annual planning meetings
      o Ad hoc meetings with staff and stakeholders
      o Be familiar with the vision, mission, strategic direction, overall structure and services to speak knowledgeably on behalf of 2RPH.

    SKILLS AND EXPERIENCE:

    • Previous experience in a similar role
    • Advanced computer competency and skills in Microsoft Office applications
    • Experience managing Board and committee papers
    • High level interpersonal skills
    • Demonstrate a high level of attention to detail in administrative activities
    • Maintain a flexible collegial and professional approach to working with an older demographic.
    • Maintain ability to work independently and also contribute positively as a part of a team.
